A practical checklist for wedding RSVPs

An organised guest list starts before the invitations go out and stays useful through the celebration.

Organise households before sending

Give each household a recognisable name. Set its maximum party size and the events it may attend. Keep household totals separate from confirmed headcounts: one household can represent three attending guests.

Share links personally

Anyone holding a private invitation link can see its details and respond. Send each link directly to its intended recipient and ask them not to forward it. If a link reaches someone else, replace it in your studio and share the new link with the household.

Follow up with unanswered invitations

Review awaiting, attending and declined responses separately. Use a reply deadline to help with seating and arrangements, and agree with your venue on when the final count is needed. Contact guests personally if they need help replying.

Prepare a list for the day

Export the guest list after checking the latest replies. Keep the file private and share it only with people helping organise the celebration. Afterwards, delete guest information you no longer need, including exported copies.
